About Your New Role
As Executive Assistant to the Director of Škoda, you will play an important role in supporting the day-to-day operations of the brand within Volkswagen Group Australia.
You will provide executive and administrative support to the Director while coordinating a range of business activities across the brand. Working closely with internal stakeholders, retailer partners and external suppliers, you will support the delivery of meetings, events, communications and administrative processes that contribute to the successful operation of the Škoda business.
Your Main Responsibilities Will Include:
- Provide professional executive support to the Director of Škoda, including calendar management, meeting coordination and travel arrangements.
- Manage the Director's workflow, correspondence and administration.
- Prepare documentation and presentations for dealer visits, business reviews and stakeholder meetings.
- Coordinate team meetings, agendas, minutes and follow-up actions.
- Support the administration of contracts, agreements and approvals through DocuSign.
- Assist with compliance, training, workplace health and safety and governance-related activities.
- Draft and distribute dealer and internal communications, including business bulletins.
- Manage access requests and administration for Škoda systems and portals.
- Coordinate monthly dealer network meetings and regular engagement activities with Dealer Principals.
- Organise domestic and international travel for the Director, team members and business guests.
- Manage travel bookings, reconciliations and liaison with travel providers.
- Process expenses, purchase orders and invoices while supporting financial administration activities.
- Support the planning and delivery of key Škoda events, conferences and retailer programmes, including Dealer of the Year, National Dealer Business Meetings and dealer incentive trips.
- Assist Marketing, Sales and Product teams with events, launch activities and drive programmes as required.
- Provide broader administrative support across the Škoda business and contribute to Volkswagen Group Australia objectives.
About You
- Previous experience in an Executive Assistant, Administrative Assistant, Events Coordinator, Sales Support or similar role.
- Formal training or qualifications in Business Administration or a related discipline will be highly regarded.
- Strong written and verbal communication skills, with the ability to build relationships with stakeholders at all levels.
- Excellent organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and a commitment to delivering accurate, high-quality work.
- Practical problem-solving skills and the ability to identify and resolve issues.
- Confidence working across administrative, operational and event-related activities.
- Previous experience coordinating meetings, events or conferences will be highly regarded.
- Strong proficiency across Microsoft Office applications, including Outlook, PowerPoint, Word and Excel.
